Position Summary

Northside Industries is seeking a highly organized and motivated individual to join our team as an Administrative Support Specialist. This entry-level position serves as the first point of contact for visitors and incoming calls, while providing broad administrative support to key business functions, including Accounts Payable, Human Resources, Payroll, Accounts Receivable, and Scheduling.

The ideal candidate will have a customer-service mindset, demonstrate initiative in a fast-paced environment, and either possess or be eager to develop strong skills in Excel and Microsoft Office. This role plays a pivotal part in maintaining the smooth operation of administrative processes and ensuring accuracy in internal support tasks.

This position offers opportunities for growth, particularly in shared services areas, accounting, and process improvement.

Key Responsibilities

Reception & Secretarial Duties

Greet all visitors, manage phone systems, and direct inquiries to appropriate team members.

• Manage general email inboxes and distribute incoming correspondence.

• Order office supplies and maintain a clean and professional front-desk environment.

• Schedule meetings and provide general administrative support to management.

Supporting AP, HR, and Payroll Duties

Assist with document organization and data entry related to payroll, benefits, and accounts payable.

• Maintain confidentiality of employee records and sensitive company documents.

• Provide administrative support to HR and payroll functions through internal software tools and platforms.

• Perform additional administrative tasks as needed in support of HR, AP, and payroll functions.

Supporting AR and Scheduling Duties

• Assist with customer correspondence and maintaining accurate records of shipping schedules and order statuses.

• Provide data entry support for order processing and billing activities.

• Help review and reconcile order information, pricing, or inventory discrepancies in internal systems.

• Prepare and send invoices, credit memos, and customer statements as directed.

General Administrative & Process Support

• Maintain accurate digital and physical filing systems across administrative functions.

• Use Excel and MS Office tools to organize and analyze information, with an openness to learning automation techniques such as formulas, pivot tables, macros, and data validation.

• Participate in training and development opportunities aimed at improving administrative processes.

• Potential to grow into responsibilities involving workflow optimization and broader administrative collaboration with management.

Qualifications

Required:

• High school diploma or equivalent.

• Previous experience in a customer-facing or administrative support role.

• Strong communication skills, both verbal and written.

• Demonstrated organizational abilities and attention to detail.

• Basic proficiency with Microsoft Outlook, Word, and Excel.

Preferred:

• Post-secondary education in accounting, business, or a related field is an asset.

• Experience supporting payroll, HR, AP, AR, or scheduling departments.

• Technical aptitude and/or curiosity for developing Excel and MS Office skills.

• Familiarity with ERP or inventory/order management systems (e.g., Profit Key) is a plus.

• Willingness to learn and assist across multiple administrative domains as needed.
